How to Verify Settings and Save Files to OneDrive on Windows 11

OneDrive is Microsoft’s cloud storage solution that makes it easy to access, back up, and share your files securely across devices. This guide explains how to verify your OneDrive setup and save files directly to OneDrive from both Office applications and File Explorer.

 


Step 1: Verify OneDrive Settings on Windows 11

  1. Check if OneDrive is running
    • Look for the OneDrive cloud icon in the taskbar (bottom-right corner).
    • If you don’t see it, click the ^ (Show hidden icons) arrow.
    • If OneDrive is not running, open it by pressing Start > OneDrive.
  2. Confirm you are signed in
    • Right-click the OneDrive icon and select Settings.
    • Under the Account tab, verify that you are signed in with the correct Microsoft account.
  3. Check your OneDrive folder location
    • In the Account tab, confirm the folder path (OneDrive - BGSF).
    • This is where files will sync automatically to the cloud.
  4. Verify that Desktop, Documents, and Pictures folders are synced
    • In the OneDrive settings window, go to the Sync and backup (or Backup) tab.
    • Under Manage folder backup, make sure Desktop, Documents, and Pictures are all selected.
    • Click Start backup (or Manage backup) to ensure these folders are continuously synced to OneDrive.

Step 2: Saving from an Office Application

  1. Open the document or file you want to save in Word, Excel, PowerPoint, or another Office program.
  2. Go to the File menu.
  3. Select Save As (or Save a Copy).
  4. In the list of locations, choose OneDrive.
  5. If prompted, sign in to your Microsoft account linked to OneDrive.
  6. Select a folder within OneDrive where you want to save your file.
  7. Enter a file name and click Save.

Step 3: Using the OneDrive Folder in File Explorer

  1. Open File Explorer (Windows key + E).
  2. Locate and open the OneDrive folder (it will appear in the left-hand navigation pane).
  3. Drag and drop files or folders from your computer into the OneDrive folder.
  4. Files will automatically sync to your OneDrive cloud storage.
    • You’ll see a cloud icon or check mark showing sync status.
